Course rescheduling and cancellation

Our 48 hour guarantee

To make booking easy we offer a 48-hour guarantee.   For tutor-led courses, you can cancel within 48 hours of booking and receive a full refund, as long as your course is more than 1 week away. For self-guided online courses, you can cancel within 48 hours of booking and receive a full refund, as long as you have not received a certificate of completion for the online course.

Rescheduling Policy for Virtual Classroom & In-Person Courses

  1. Rescheduling requests made more than 1 week before the start date of the course are allowed, subject to availability, at no charge. If the course you are rescheduling to costs more than your original booking, you will be charged the difference. If the course you are rescheduling to costs less than your original booking we will refund the difference.
  2. Rescheduling requests less than 1 week before the start date of your course are not allowed.
  3. Initial rescheduling requests will be honoured free of charge. Further rescheduling requests will incur a £50 administration fee.

Cancellation & Refund Policy for Virtual Classroom & In-Person Courses

  1. Cancellations made within 48 hours of booking for a course starting more than 1 week in the future at the time of cancellation are eligible for a full refund of all course fees, with no administration fee.
  2. Cancellations made more than 3 weeks before the course are eligible for a full refund of all course fees, with no administration fee.
  3. Cancellations made 1 to 3 weeks before the start date of the course are eligible for a full refund of all course fees minus a £50 administration charge per day of your course.
  4. Cancellations made less than 1 week before the start date of the course are not eligible for a refund.
  5. In the case of a course which has previously been rescheduled, the ‘start date’ of the course will be the earlier of the two dates.

Why do we charge an administration fee for cancellations?

Simply put, processing a cancellation and refund of fees costs our team time. When you cancel your course, the team needs to make changes to delegate lists, contact and discuss changes with tutors, contact and discuss changes with venues, covering the costs of digital materials, covering day delegate rates with venues, as well as manually processing the return of your fees to your account in a timely manner. In order to ensure this process is handled as a matter of urgency the administration fee covers the time required to prioritise this.

Course Cancellation by Oxford Medical

In the very unusual event that we have to cancel a course we will offer you the choice of a full refund or a free transfer to an alternative course date. We will try to give you at least 1 weeks’ notice but sometimes (for example when a course is cancelled due to bad weather, power outages, technical faults, or tutor illness) this is not possible. Oxford Medical accepts no liability for non-refundable costs in the event that a course is cancelled. We reserve the right to cancel a course if we believe it is not possible for us to deliver a course to our usual standard or if travel to a course would be considered dangerous for the tutor or attendees. If we make the decision that it is reasonable to run the course and it goes ahead as planned, failure to attend the course may result in the loss of the course fee. It is up to you to research alternative methods of access or transportation before a course to ensure you can attend. We reserve the right to alter any advertised course tutor (to cover for sickness or late unavailability) to enable an advertised course to run.
